Agency Privacy Notice

Last updated: 08-07-2026 ยท version 1.0

For estate agency users of the homvo dashboard

1. Who we are, and who this covers

homvo is operated by XLanding Limited, registered in England & Wales (company no. 12744352), registered office 184 Shepherds Bush Road, London W6 7NL. Contact: contact@homvo.co.uk.

This notice covers the personal data of individuals who use the homvo agency dashboard - owners and staff. Your agency's relationship with homvo is governed by the agency agreement; this notice explains what happens to your personal data as a person using the portal. Consumers are covered by our separate Privacy Policy.

2. What we collect

  • Account data: your name, work email address and role at the agency. Sign-in is by email link - we never store a password.
  • Dashboard activity: what you do in the portal - listings created and edited, videos uploaded, enquiries marked 'Replied', and when.
  • Agreement records: who accepted the agency agreement, when, and which version - kept as evidence of the contract.
  • Billing contacts: if your agency subscribes after the pilot, billing contact details and payment information go directly to Paddle, our merchant of record (see section 4).
  • Support messages: what you send us when you ask for help.

3. How we use it, and our legal grounds

  • To run the portal: accounts, sign-in, uploads, enquiry handling - necessary for the contract with your agency (legitimate interests as regards individual staff members).
  • Activity metrics and ranking: your agency's publishing activity determines its position in the homvo directory. Ranking is computed and displayed at agency level - consumers see agency statistics (live listings, videos, followers), never individual staff data. Placement cannot be bought; activity is the only input (legitimate interests).
  • Response times: we measure the time between an enquiry arriving and it being marked 'Replied'. This is visible to your agency in the dashboard. If response times are ever shown publicly, we will update this notice and tell you first (legitimate interests).
  • Contract evidence: agreement acceptance records are kept to prove what was agreed (legitimate interests / legal claims).

4. Who we share it with

Billing is handled by Paddle, our merchant of record: billing contact details and payment information go directly to Paddle, which handles them as an independent data controller under its own privacy policy (paddle.com). Card details never touch homvo's systems.

We use service providers for hosting and email delivery under contracts that restrict them to acting on our instructions. Consumers see your agency's public profile - name, coverage, listing and video counts, and attribution stamps ('source: @youragency') - never personal data about individual staff.

5. How long we keep it

  • Account data: while your agency uses homvo, deleted 12 months after your agency leaves or your account is removed.
  • Agreement and acceptance records: 6 years after your agency leaves (contract evidence).
  • Dashboard activity logs: 24 months, then deleted or reduced to agency-level aggregates.
  • Enquiry records follow the consumer policy: deleted 24 months after submission - your dashboard copy disappears at the same time.

6. Your rights

You can ask for a copy of your data, correct it, delete it, object to processing based on legitimate interests, and take your data elsewhere. Email contact@homvo.co.uk - we respond within one month. You can also complain to the Information Commissioner's Office (ico.org.uk). Requests about your agency's business data (listings, videos, metrics) go through your agency's account owner under the agency agreement.

7. Changes

We will post any changes here and tell agency account owners by email before significant changes take effect.
